1. Introduction
This Refund & Cancellation Policy explains how subscription cancellations, renewals, billing issues, and refund requests are handled for TripVeer. TripVeer is a cloud-based CRM and operations platform for travel agencies and tour operators.
This Policy applies only to fees paid for TripVeer software subscriptions and related platform services. It does not apply to travel bookings, hotels, flights, transport, activities, visas, insurance, supplier payments, or any other third-party travel services that a Customer manages through TripVeer. Refunds for those services are governed by the relevant supplier and the Customer’s agreement with its traveller.
This Policy forms part of our Terms & Conditions. If an Order Form or written commercial offer provides a specific refund or cancellation term, that term applies to the extent it expressly differs from this Policy.
2. Subscription Plans
TripVeer offers subscription plans with different features, user limits, storage, AI credits, integrations, support levels, and billing periods. Plan details and current pricing are shown during purchase or in the applicable Order Form.
A subscription provides access for the agreed period; it does not transfer ownership of the software. Features that depend on usage, credits, or third-party providers may have additional limits. Adding users, storage, credits, or optional services may result in additional charges disclosed before confirmation.
Promotional, discounted, pilot, event, and special-offer subscriptions may have separate eligibility or duration conditions. Unless applicable law requires otherwise, these subscriptions are non-refundable.
3. Billing
Subscription fees are charged in advance according to the billing period selected by the Customer, such as monthly, quarterly, or annually. The Customer is responsible for keeping its billing contact, tax details, and payment method current.
- Fees and applicable taxes are payable by the due date shown on the invoice or checkout.
- Payment gateways may apply their own processing times, currency conversion, bank charges, or verification requirements.
- TripVeer does not store complete card numbers, CVV codes, or full online-banking credentials.
- An invoice or payment receipt does not alter the plan terms unless it expressly says so.
Customers should report an incorrect invoice or charge promptly so it can be investigated while relevant records remain available.
4. Free Trial
TripVeer may offer a free or evaluation trial. Trial duration, features, storage, AI credits, and eligibility are determined by the trial offer. We may refuse repeated trials or end a trial used fraudulently or in breach of our Terms.
A free trial has no cash value and unused trial time or credits are not refundable. If a trial automatically converts to a paid plan, the price and conversion date will be disclosed before the Customer confirms. The Customer must cancel before that date to avoid the first subscription charge.
If no paid plan is selected, access may end when the trial expires. Customers should export important data before the trial end date.
5. Cancellation by Customer
Customers may cancel a subscription at any time through available Account settings or by contacting TripVeer support at info@tripveer.com. A cancellation request must come from an authorised Account administrator or billing contact. We may verify identity and authority before processing it.
Cancellation stops future renewals only. It does not normally end the current prepaid billing period or reverse charges already due. Customers should submit cancellation before the renewal date and allow reasonable time for verification and processing.
Deleting the application, stopping use, removing users, cancelling a payment instruction, or allowing a card to expire does not by itself cancel the subscription. The Customer should obtain confirmation that cancellation has been recorded.
6. Effect of Cancellation
After cancellation, the Customer normally continues to have access until the end of the current paid billing period. Access may end earlier if the Account is terminated or suspended for fraud, misuse, a security threat, non-payment, or another violation of the Terms.
Before access ends, Customers should export business-critical leads, customer records, quotations, itineraries, bookings, invoices, vouchers, and uploaded documents. Data export is subject to available features, plan limitations, technical feasibility, other people’s rights, and applicable law.
After termination, Customer Data may be retained for a limited period for legal compliance, accounting, security, fraud prevention, disputes, and disaster-recovery backups. Data is then deleted or de-identified according to our retention process. Complete removal from backups may take a reasonable additional period.
7. Refund Policy
Subscription fees are generally non-refundable once a billing cycle has started. This reflects that cloud capacity, user access, security, support, and platform features are made available from the beginning of the period.
Unless required by applicable law or expressly agreed in writing:
- there are no partial or prorated refunds for unused time;
- unused user seats, AI credits, storage, integrations, or features are not refundable;
- downgrading or stopping use during a billing period does not create a refund;
- promotional, discounted, and special-offer subscriptions are non-refundable; and
- fees are not refunded because a Customer’s preferred third-party integration, supplier, or travel service is unavailable.
Nothing in this Policy removes a refund or remedy that cannot legally be excluded.
8. Failed or Duplicate Payments
If a payment fails, the payment gateway or TripVeer may retry the charge where authorised. The Customer should not repeatedly initiate payment while a transaction is pending, as this can create duplicate charges.
If the same subscription payment is deducted more than once because of a verified technical error, TripVeer will investigate using gateway, bank, invoice, and Account records. After verification, we will issue an appropriate refund or Account credit.
Please provide the invoice number, transaction references, dates, amounts, and non-sensitive proof of deduction. Do not email complete card details, CVV codes, passwords, or banking credentials. Approved refunds are returned through the original payment method where possible. Bank and gateway processing times vary.
9. Automatic Renewals
Where disclosed when purchasing, a subscription renews automatically for a period equal to the previous billing period unless cancelled before the renewal date. The payment method on file may be charged the then-current subscription price and applicable taxes.
Customers are responsible for monitoring renewal dates and keeping billing details current. Where reasonably practicable or required by law, TripVeer may send renewal or payment notices. Failure to receive a reminder does not cancel an agreed automatic renewal.
10. Price Changes
TripVeer may change subscription prices, plan limits, included credits, and feature packaging over time. We will provide prior notice of a material price change where reasonably practicable. A price change normally applies from the next renewal and does not change fees already paid for the current period.
Customers who do not accept the new price may cancel before it takes effect. Continued use after the effective date or renewal of the subscription constitutes acceptance of the new pricing.
11. Account Suspension for Non-Payment
Accounts with overdue payments may be restricted or suspended until all dues are cleared. Restrictions may affect logins, integrations, AI features, exports, document generation, or other functions. We may provide notice and a reasonable opportunity to pay, but urgent action may be taken where continued service creates material risk.
Suspension does not cancel the subscription, remove outstanding payment obligations, or extend the billing period. Access may be restored after cleared payment and verification. Repeated or extended non-payment may result in termination and data retention or deletion under the Terms and Privacy Policy.
12. Exceptional Refund Requests
If TripVeer is unable to provide the subscribed Service because of a confirmed technical issue caused solely by TripVeer, we may consider a reasonable refund or service credit on a case-by-case basis. This is not an automatic entitlement.
When reviewing a request, we may consider:
- the duration and material impact of the confirmed issue;
- whether core subscribed features were unavailable;
- whether a workaround or restoration was provided;
- the Customer’s plan, payment status, and support records; and
- whether the issue resulted from TripVeer, the Customer, internet access, misuse, configuration, or a third-party provider.
Requests should be made promptly with enough detail to investigate. Approved refunds are processed through the original payment method where possible. Processing time depends on the bank and payment provider. A discretionary refund in one case does not require the same result in another.

Include the organisation name, Account email, invoice number, transaction reference, payment date, amount, and a clear description of the request. We may ask for additional information needed to verify identity, authority, and payment. Never send passwords or full payment-card details.
14. Changes to this Policy
We may update this Policy to reflect changes in subscriptions, payment providers, law, or business practices. The latest version will be published on this page with a revised effective date.
Where a change materially affects existing subscription rights, we will provide reasonable prior notice through email, the Service, or our website where practicable. Changes normally apply from the next renewal unless law, security, or payment-provider requirements make an earlier change necessary. Continued use after the effective date means the updated Policy applies.
